Job Title: Remote Office Administrator
Job Summary:
As a Remote Office Administrator at AnyIT, you will oversee essential administrative and sales support functions in a fully remote environment. You will be responsible for managing daily administrative tasks, supporting the sales process via our Professional Services Automation (PSA) system, and contributing to the overall efficiency of our team. This role is perfect for a detail-oriented, tech-savvy professional with strong organizational and communication skills.
Key Responsibilities:
- Administrative Support: Manage various administrative duties such as coordinating schedules, organizing virtual meetings, preparing reports, and maintaining records.
- Sales Support: Provide support to the sales team by managing quotes, proposals, and client records within the PSA system, ensuring accuracy and timely updates.
- Client Coordination: Serve as the primary point of contact for client inquiries, routing them to the appropriate teams effectively.
- PSA System Management: Maintain and update data in the PSA system to streamline both sales and operational workflows.
- Documentation Management: Ensure all company documentation, including contracts, compliance records (e.g., Cyber Essentials), and operational procedures, is well-organized and accessible.
- Financial Support: Assist with invoice processing, expense tracking, and collaborating with the finance team for financial reporting.
- HR Administration: Support onboarding processes for new hires and maintain personnel documentation.
- Process Improvement: Identify and implement improvements to remote workflows and administrative processes to boost team efficiency.
Requirements:
- Education: A degree or diploma in business administration, office management, or a related field is preferred.
- Experience:
- Proven experience in a similar administrative role, ideally within a remote or IT-focused environment.
- Familiarity with PSA systems and sales support tasks is highly desirable.
- Skills:
- Proficiency with PSA systems, including managing quotes, workflows, and client records.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- High attention to detail and data accuracy.
